Adding new users and pilots

This help article will demonstrate:

  1. The locations on AirData where you can add a user/pilot.
  2. Adding the user/pilot.

Where to add a new user/pilot

Add a new user/pilot by going to one of the two following locations:

  1. From "MANAGE" -> "PILOTS", click on "Add Pilot" in the upper left-hand corner (Enterprise only).

  2. add user/pilot


  3. Go to "My Account" -> "Users/Pilots", and click on "Add User/Pilot".

Provide the name and email of the pilot. This email will be used by the pilot when they log into AirData.

If desired, enter an organization name for the pilot, and add necessary notes. The notes are displayed when viewing the pilot on "MANAGE" -> "PILOTS."

Choosing a color for the pilot helps with account organization. For example, all new pilots could be highlighted in yellow.




Select the appropriate permissions for this pilot. If none of the permissions are checked, the new user/pilot cannot log into your account. However, an Auto Upload Token will be created for them, which allows their flights to upload to your account. Currently, the "organization admin" permission allows that individual to receive alerts for pilots in their organization. Additional capabilities will be added to this permission in the future.


Theirs User/pilot can perform the action ONLY on their flights/equipment. X User/pilot cannot perform this action on any flights/equipment.
All User/pilot can perform the action on ALL flights/equipment. User/pilot can complete this action.

Click on "Save" when you've finished configuring the new user/pilot.

Next steps for new user/pilot

If the "Allow user to login" was checked, the new user/pilot will be sent an invitation email from AirData. The individual needs to follow the invitation link in the email, where they will be prompted to create their password. After the password is created, they will have access to your AirData account.

Please inform the new user/pilot to accept the email invitation, and to NOT create a new free account from the AirData website. The individual will not be added to your account if they create their own separate free account.

Hi,
What can we do if someone of my Institution created a free account with her institutional email, unfortunately before We send the email invitation?

Hi Arturo, that's a good question. AirData will allow the same email address to be used with multiple AirData accounts. So, when you add her as a user/pilot, she will receive an email that contains a link for her to create a password to access your Enterprise account. When logging into AirData, she will be prompted to choose which account to log into.

If her free account is not needed, please have her send us an email at [email protected] and we'd be happy to delete it for her.

I'm thinking I might want this for two pilots. The question is, how long does it take for a flight to register once it's completed? The idea is that we'll both be flying the same aircraft, and usually we swap out who's flying. I assume that in order to count with one pilot or the other, we need to sign out and back in with the next person.

Oh, and the tablet we're using is not online when we're in the field flying.

Should I be directing these questions to the support email address?

How can I just show the flights of a particular pilot I have added to my Pro account? Thank you.

Hi Edmond, you can select the pilot from the "Pilot-in-Command" dropdown on the MY LOGS -> FLIGHTS page, which will display only the flights for that pilot. You can also use our Advanced Search Tool to accomplish this. Please see our "Filtering flights" help article for a more in-depth explanation of this topic: app.airdata.com

Hi, is it possible to upload flights without selecting a pilot? Example, I want to upload old flights from a pilot who no longer works with us.

Hi Eitan,

Thank you for posting this question.

It is not possible to upload flights without pairing them with a pilot.

Our recommended solution in this case is to create a "dummy account" for this pilot. For instructions on adding users/pilots, please see the help article in the Pilots section of AirData help entitled "Adding new users and pilots".

You can follow the instructions there to create a generic account for all historical flights, or create a pilot account that you then mark as inactive.

Hi
I am a pilot operating under an organication and I have created an Airdata UAV account for this. I am now also registered as my own operator for private piloting. Do I have to creat a another Airdata UAV account for this?

Hi Åge,

Thank you for sharing this question.

It sounds like you are flying professionally for two different organizations: One as an employee/contractor; one as owner/operator.
Is this correct?

If you would like to keep your flights from both organizations siloed and separate, you will need to have two AirData accounts.
Anything you add to your Enterprise Pilot account will be visible to the Admin users on that account.
